Privacy Policy

Last Updated: March 25, 2026

1. Scope

This Privacy Policy explains how Baseball Squares (the "Service") collects, uses, discloses, stores, and protects personal information.

By using the Service, you acknowledge the practices described in this Privacy Policy.

2. Information We Collect

We may collect the following categories of information:

Information you provide directly

  • email address;
  • display name or profile name;
  • invitation and season participation data;
  • entry-request information;
  • communications you send to the Service operator; and
  • any other information you choose to submit through the Service.

Information collected automatically

  • IP address;
  • browser type and device information;
  • approximate geolocation inferred from IP;
  • log and diagnostic data;
  • session data and authentication-related records; and
  • usage information relating to pages, actions, and interactions with the Service.

League and gameplay information

  • season membership;
  • board assignments;
  • entry approvals and activation timing;
  • game history, outcomes, and winner displays; and
  • league-administration records.

3. How We Use Information

We may use personal information to:

  • provide, operate, maintain, and secure the Service;
  • authenticate users and manage access;
  • send sign-in links, invite emails, approval notices, board updates, and winner notifications;
  • display names, initials, or other labels in seasons and boards;
  • administer seasons, boards, invitations, and entry requests;
  • monitor reliability, debug problems, and improve the Service;
  • enforce our Terms and protect the Service, users, and others; and
  • comply with legal obligations and respond to lawful requests.

4. How We Share Information

We do not sell personal information for money.

We may share information in the following circumstances:

  • with service providers that help us operate the Service, such as hosting, authentication, database, email, and infrastructure providers;
  • with other authorized users of a season or board, where display information is necessary to operate the game experience;
  • if required by law, subpoena, court order, or other valid legal process;
  • to protect the rights, property, safety, users, the Service operator, or others; and
  • in connection with a merger, acquisition, restructuring, financing, or asset transfer.

5. Public and Shared Display Information

Because the Service is designed for shared league participation, certain information may be visible to other authorized participants in the same season or board.

That may include:

  • your display name;
  • your initials or public label;
  • your participation in a season;
  • your assigned or winning squares; and
  • winner history associated with a season.

We aim to minimize public exposure of raw email addresses within the product interface. Where possible, the Service uses display names or initials instead of full email addresses for participant-facing surfaces.

6. No Children Under 13

The Service is not directed to children under 13, and we do not knowingly collect personal information from children under 13.

If you believe a child under 13 has provided personal information to the Service, contact the Service operator so the information can be reviewed and deleted where appropriate.

7. Data Retention

We retain personal information for as long as reasonably necessary to:

  • provide the Service;
  • maintain season history and league records;
  • comply with legal obligations;
  • resolve disputes; and
  • enforce our agreements.

We may retain backup, archival, log, and security records for additional periods where reasonably necessary.

8. Data Security

We use reasonable administrative, technical, and organizational measures designed to protect personal information.

However, no website, application, transmission, or storage system is completely secure, and we cannot guarantee absolute security.

9. Third-Party Services

The Service relies on third-party providers for infrastructure and functionality, which may include:

  • hosting and deployment providers;
  • database providers;
  • authentication providers;
  • email delivery providers; and
  • baseball data providers.

Those third parties may process personal information on our behalf subject to their own terms and privacy practices.

10. Cookies and Similar Technologies

The Service may use cookies, sessions, and similar technologies for authentication, security, load balancing, and product functionality.

If analytics or advertising tools are added later, this Privacy Policy should be updated before they are enabled.

11. Legal Compliance and Lawful Use

The Service is intended as a private, invite-only league-management and score-tracking tool.

We do not process wagers or prize payouts through the Service. If users choose to use the Service in connection with offline contests, pools, or transfers of value, those arrangements are outside the Service, and users remain solely responsible for legal compliance.

12. Your Choices

Subject to applicable law, you may be able to:

  • update your display name and certain profile information;
  • request access to or correction of certain personal information;
  • request deletion of certain information; and
  • stop receiving certain operational emails by discontinuing use of the Service, though essential account or transactional emails may still be sent where necessary.

To make a privacy request, contact the Service operator using the contact information published on the site.

13. California and Other Privacy Rights

Depending on where you live, you may have legal rights regarding your personal information.

For example, California law expects online privacy disclosures to explain what categories of personal information are collected and how they are used and shared. If you operate this Service in a way that triggers additional state privacy-law obligations, this Privacy Policy should be expanded accordingly.

14. Do Not Track

The Service does not currently respond to browser "Do Not Track" signals in a standardized way.

15. International Users

If you access the Service from outside the United States, you understand that your information may be transferred to, stored in, and processed in the United States or other jurisdictions where our providers operate.

16. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. The updated version becomes effective when posted unless a later date is stated.

17. Contact

If you have questions about this Privacy Policy or your personal information, contact the Service operator at the contact address or email published on the site.
